CANADIAN IMMIGRATION. A CLEAR APPROACH TO COMPLEX CASES
Lex Nova Immigration and Citizenship Inc. collects personal information needed to respond to inquiries and provide agreed Canadian immigration and citizenship services.
When a person contacts Lex Nova through the website chat or by email, the information collected may include their name, contact details and the contents of their message. Website chat messages are forwarded to Lex Nova’s business email.
For consultations and client matters, additional information may be required, including identity documents, immigration history, family details, employment records and other documents relevant to the services requested. Sensitive information is requested only where necessary for the matter.
Personal information is used to respond to inquiries, assess requested services, communicate with clients, prepare agreed applications and submissions, and meet applicable professional and legal obligations.
Information may be disclosed to immigration authorities and other recipients where necessary for the agreed services and with the required consent, or where disclosure is permitted or required by law. Website and email providers may process information as necessary to deliver their services.
Providing information is voluntary. However, Lex Nova may be unable to assess an inquiry or provide a service without the information reasonably required for that purpose.
The website operates on GoDaddy. Lex Nova uses statistics available through its GoDaddy account to understand website traffic and usage.
GoDaddy’s website and chat services may process messages and technical information associated with visits, such as IP addresses, browser information and usage data. The information collected depends on the services and settings in use.
Visitors can manage cookies through their browser settings and any privacy controls available on the website. Restricting cookies may affect some website functions.
Client documents are stored on Lex Nova’s work computer. Messages and related information may also be retained within the website chat and business email systems.
Although client documents are stored locally, service providers may process or store website and email information outside Quebec or Canada. Lex Nova does not represent that all information remains exclusively in Quebec or Canada.
Personal information must be protected through safeguards appropriate to its sensitivity. No electronic communication or storage system can guarantee absolute security. Visitors should avoid sending passports, medical records or other sensitive documents through the website chat unless specifically instructed.
Client files relating to services provided under a service agreement are retained for at least six years after the file is closed. Longer retention may be necessary to meet applicable professional or legal obligations.
Inquiries that do not lead to a client engagement are not automatically subject to that six-year period. They are retained only for as long as reasonably necessary to handle the inquiry and meet applicable obligations.
When information is no longer required and applicable retention obligations have ended, it is to be securely destroyed or otherwise handled as permitted by law.
Individuals may request access to their personal information, correction of inaccurate or incomplete information, and information about its use or disclosure, subject to applicable law.
Where processing relies on consent, individuals may request to withdraw that consent, subject to legal and professional obligations. Withdrawal may affect Lex Nova’s ability to continue providing services and does not necessarily require the deletion of records that must be retained.
Requests and privacy complaints should be directed to the Privacy Officer. Identity verification may be required before information is released or changed.
